There are two ways to fax a document - using a conventional fax machine and by emailing the fax document. The conventional way - using a fax machine for facsimile transmission is still used by many people, particularly those who only need to fax a document occasionally.

FAX MACHINE Faxing documents via a conventional machine is still the most commonly used method for sending signed documents electronically. It is simply a matter of placing the pages in the order to be received, preparing a cover sheet with the receiving party's information, and placing the cover sheet as the first page of the document being sent.

Once that is done, place the document in the feeder, dial the phone number for the receiving fax machine and press the send button. The machine then scans the document and connects with the receiving machine.

Once the connection is established, the document will be transmitted. When the process is finished, a confirmation message is usually printed.

FAX BY EMAIL By comparison the machines can be expensive to purchase and maintain, use a lot of paper and toner and take up space. It is also expensive and paper intensive to send multiple faxes.

The most efficient way of sending faxes is via email and there are a number of companies that offer this service at a reasonable cost. Learning how to send a fax via email is easier than it sounds.

Create the document, enter the personal fax phone number provided by the faxing service, attach the document and send it. The service provider's equipment will digitize and encrypt the document and send it on to the receiving party.

This technology does not require paper and is more cost-effective because the service's monthly charges make it less expensive to send multiple copies of a document.
